Dates matter
The policy must be valid for the full duration of your rental, including the pickup and return dates. Typically, the pickup date is the day before your production starts and the return date is the day after your production wraps. On the insurance policy expiration date, all coverages expire at 12:01 AM standard time for whatever time zone the insurance company uses.

Common questions.
Do I need to sign a rental agreement every time I rent?
The first time you rent from us, you'll need to sign the Rental Agreement. Our contract is a continuing agreement, so signing once covers this rental and every future one. You'll only sign a new agreement if we materially change the terms and conditions.
Is an electronic signature actually valid?
Yes. Under the federal ESIGN Act and the Texas Uniform Electronic Transactions Act, an electronic signature carries the same legal weight as ink on paper. Every document we generate carries a signature certificate recording who signed, when, from what device, and the exact consent language shown. If you'd rather sign on paper, download the PDF and send it back — we're happy either way.
Can I sign the rental paperwork on my cell phone?
Yes. Draw your signature with a finger, or type your name and have it set in a signature type face. Both are equally binding.
I don't have my COI yet. Can I still book?
You can start — send everything else and we'll hold your dates. The certificate just has to reach us before the gear leaves the shop.
Do we have to have insurance?
For 99% of rentals — yes, you must have insurance. If you need just a few sandbags or C-stands for a shoot, we will not require insurance, but for any rentals with a larger value or a vehicle, insurance will be required.
Does the rental company provide insurance?
No, we do not sell or offer insurance. All insurance must be provided by the renter through a third-party insurance broker.
What is the Texas sales tax exemption?
The state of Texas established a sales tax exemption in 2007 specifically for Film & Video (not Stills) production expenses in Texas, as part of its Film/Video Production Incentive package. As the purchaser, please fill out the top section of the form, sign it at the bottom, and return it to us if you want to claim the sales tax exemption.
For further information on sales tax exemptions, visit the Texas Film Commission at gov.texas.gov/film.
We promote the program because it's good for our clients' budgets and it simplifies our accounting.
